Albert College is looking for a steadfast, customer service-oriented candidate to work in an office environment within an academic setting. The Senior School Reception is responsible for working as part of the team serving the needs of the students and their families in the College. The Senior School Reception works in the administrative office and performs a variety of duties that support the day-to-day operations of the College. These duties cover clerical, customer service, and security responsibilities, as well liaison between our nursing, facilities, food services, and administration offices.

Position Requirements
The Senior School Reception is responsible for working as part of the team serving the needs of the students and their families in the College. The Senior School Reception works in the administrative office and performs a variety of duties which support the day-to-day operations of the College. These duties cover clerical, hospitality, and security responsibilities, as well liaison between our nursing, facilities, food services and administration offices.
SPECIFIC DUTIES AND RESPONSIBILITIES
Clerical
• Answer telephone and direct calls to appropriate person
• Manage telephone inquiries
• Manage telephone messages using voice mail system
• Manage a facsimile machine
• Take and communicate messages to all College constituents
• Track student attendance daily
• Word-processing, spreadsheet and database duties as assigned
• Some filing
• Photocopying, collating and preparation of print materials for a variety of purposes
• Receive and assist in coordination of courier deliveries
• Maintain attendance register in coordination with the Academic Office
• Ensure maintenance of office machines (i.e., fax, photocopier, laminator, postage meter, etc.)
• Facilitate community groups who are using the College’s facilities
Customer Service
• Opens main office for staff
• Greets and assists all constituents to deliver great customer service within a school environment as required
• Contact constituents by telephone as necessary
• Liaise with Health Centre, Facilities, Food Services and Administration Offices as required
• Provides courier and mail services assistance
Security
• Conduct Covid-19 screening for all visitors
• Ensure security of front office by locking and unlocking appropriate doors and windows upon arrival and departure
• Monitor the arrival of visitors at front door and main office
• Maintain a sign-in log for visitors to the school
• Welcome and retain parents in waiting area
• Sign for and monitor deliveries
• Ensure confidentiality of personal and school information
• Call parents to check on absent students in consultation with the Academic Registrar
• At the end of each day, wipe down high-touch areas in the main office as per our Covid-19 policies
• Report any concerns to the Executive Assistant to the Head and CFO
Health & Safety
• Maintain and uphold all of the College’s Health and Safety Policies including but not limited to following safe work procedures, knowing and complying with all the laws and regulations, reporting any injury or illness immediately, reporting unsafe acts and conditions along with the overriding principle of taking reasonable precautions in the circumstances to protect themselves. This includes adherence to all new policies related to the current pandemic
Working Conditions
• Work is a combination of deskwork; computer work and human relations
• Word processing, spreadsheet, e-mail, database, and scheduling requires extended periods of keyboarding and viewing monitors
• There will be extended periods of time at a desk in a sitting position
• Lifting and coordination of incoming and outgoing parcels
