REQUIRED QUALIFICATIONS:
- Two-year post-secondary education in business administration or equivalent
- Minimum of two years of experience working in a customer-service environment, preferably in a post-secondary environment
- Demonstrated ability to work effectively as part of a client-focused team
- Advanced knowledge of standard office procedures
- Knowledge of Arts and Science programs and regulations
- Satisfactory Criminal Background Check and Vulnerable Sector Check
- Experience with PeopleSoft student system is considered an asset

- Consideration may be given to an equivalent combination of education and experience

DECISION MAKING:
- Determines appropriate and accurate information and procedures in response to student inquiries
- Determines students’ academic status to register in a particular course, to apply for a letter of permission, to prepare attendance certification letters, or for scholarship eligibility, by assessing academic information in the student record in the PeopleSoft student information system
- Directs and redirects inquiries to appropriate people and offices
- Determines the urgency of student needs when making counseling appointments and judges when to direct a student to a counselor or other office for academic advice, financial assistance or personal counseling
- Assesses the level of response needed when dealing with a student in distress in order to take appropriate action as quickly as possible
- Diagnoses registration inaccuracies in PeopleSoft and determines the appropriate office to which to refer the problem to be rectified
- Determines which student files should be archived and which files should be destroyed
- Determines what, if any, information contained in a student’s file is discretionary and presents those files to the Associate Deans (Studies) for review
- Makes judgments about who should receive confidential information (e.g. parents, financial agencies, other students)
Position Requirements
Reporting to the Associate Director, Student Services (Registration, Admissions and Services), and receiving work direction from the Registration Services Manager, the Student Resource Assistant is a member of the Student Resource Team, and is responsible for providing in-person, telephone and email support to current and former students, parents, departmental administrators and faculty members, and staff in various administrative offices at the University. The Student Resource Team provides accurate and up-to-date information related to the Faculty’s academic regulations, polices and procedures, and supports the administration of the Faculty’s academic advising, academic appeal, academic consideration, letter of permission and registration processes.
KEY RESPONSIBILITIES:
- Provides accurate information about policies, academic regulations and procedures, including dates and deadlines, for: registration, Plan selection, letters of permission, academic appeals, academic consideration, investigations of a departure from academic integrity, degree list, and orientation programs. This includes explaining these procedures and timelines to students (prospective, current and former), parents, staff and faculty, both in-person and over the phone
- Assists students with procedures related to Plan selection, application to graduate, and course registration. Instructs students on the use of SOLUS or enters student requests directly into the PeopleSoft Student Information System (e.g., adding and dropping classes for students, entering program and/or Plan changes)
- Refers to the Academic Requirements Report to interpret degree requirements as listed in the Academic Calendar for all programs and Plans offered by the Faculty of Arts and Science. Interprets course prerequisites and exclusions and attempts to problem solve when students cannot enroll in courses
- Provides information to students seeking exceptions to academic regulations by explaining the procedures for appealing to the Associate Dean (Academic) and the Board of Studies, and by providing information about deadlines and supporting documentation
- Respond to student inquiries with regards to the Faculty Protocol for students with Extenuating Circumstances. This includes assisting students to ensure the submission of the appropriate forms and explaining next steps
- Presents a safe and positive space to all visitors, including a large and diverse student body, student family members, University administrative staff and faculty members. Interprets student situations and refers appropriately to other units on campus (e.g., Student Wellness Services, Four Directions Indigenous Student Centre, University Interfaith Chaplain, University Ombudsman) as needed
- Manages the scheduling of appointments with the Faculty academic advisors and counsellors. Screens student inquiries prior to booking an appointment, providing as much information to the student/parent as possible. Refers first-year students to the Peer Academic Support Service (PASS) advisors. Refers all students to appropriate offices/Departments as appropriate
- Prepares letters to certify student academic and attendance status as requested
- Manages the student filing system, including the preparation of student files and the maintenance of the file system database. Follows the approved Faculty record retention schedule regarding student files
- Maintains documents and procedures in support of all Faculty student records activities
- Processes debit and credit card payments and refunds for administrative services. Reconciles daily and monthly receipts against charges
- Provides general support to the office by maintaining the Departmental contact lists and the inventory of office supplies, monitoring the information posted on student bulletin boards, sorting the incoming mail and arranging service for the copier/printer
- Provides administrative and secretarial support to the Associate Dean (Academic) and other Faculty Office staff as required
