Under the direction of the Director, Student Life, the Student Success Advisor will work in collaboration with campus partners, including Student Awards, Career Services, faculty advisors, and others to provide relevant, responsive, holistic student support services and programs to equity-deserving students, such as the Promise Scholars, Commitment Scholars, and first-generation students, at Queen’s University.
The Advisor is responsible for providing inclusive services to students. The advisor will respond to initial inquiries from students and refer students to academic advising, career counseling, and personal support services (e.g. study skills, finances, career goals, housing, stress, etc.), ensuring the delivery of seamless supports.
The overall goal of the Advisor is to facilitate the well-being and success of Promise Scholars, Commitment Scholars, and first-generation students at Queen’s. The Advisor is responsible for developing, supporting, and assessing structures, systems, and programs, to support and track the academic success, personal development, and wellness and retention of students. They will engage with, and provide guidance to, campus stakeholders who will participate in the delivery of these services.
Note: The schedule for this position may require the incumbent to work flexible hours, including evenings and weekends, according to program or area needs.
KEY RESPONSIBILITIES:
- Develop, implement, and oversee programs to support students, such as Promise Scholars, Commitment Scholars, and first-generation students, helping them to develop a holistic view of academic, personal, financial, and career goals to balance academic, professional, social, and personal demands. Engage campus partners in the delivery of holistic services to support students, including peer mentorship, the financial aid office, Student Wellness Services, and other on campus and community resources.
- Provide initial assistance to students requiring guidance on university degree and program requirements and assist students in contacting the appropriate academic advisor to ensure they meet degree requirements and selected program prerequisites.
- Provides services related to guaranteed student employment, such as working with students to identify skills and employment interests, and working with campus partners to identify employment opportunities, assisting with the hiring process, tracking offers and acceptances.
- Provides support and assistance to both students and employers throughout employmentplacement, including. Assists students and employers with escalated issues and provides input to determine most effective solution.
- Identifies scenarios (e.g. unique requests that do not fit within existing guidelines) requiring consultation with Manager and/or with Faculty/School/Campus program partners and leads discussions to decisions.
- Chairs a cross-institutional programming committee that coordinates the seamless delivery of advising, services, and programs that support the Promise and Commitment Scholars.
- Participate in the strategic planning, implementation, and evaluation of University programs and policies.
- Act as the first point of contact for Promise Scholars and Commitment Scholars following acceptance, working with Undergraduate Admissions and Recruitment and Student Awards to provide a seamless hand-off.
- Assist with the planning and execution of events and programming designed to improve the student experience and assist with the cultural and academic transition to Queen’s.
- Advocate for/with students as required to provide appropriate academic accommodations. Provide consultation/advice to members of faculty and staff on issues of concern regarding student transition and equity issues.
- Develop and implement a long-term targeted and measurable plan for the provision of inclusive student support. Conduct ongoing reviews and updates for meeting the needs of students.
- Maintain monthly statistics and reports and provide monthly updates as requested, for the Promise and Commitment Scholar Advisory Committee.
- Access internal Queen’s student data and financial processes using SOLUS, etc.
- Provides work direction and technical guidance to student staff; schedules and assigns work, and oversees its completion; coordinates and monitors work flow.
- Schedules and recommends the approval of student staff hours of work, overtime, and absences. Monitors and oversees student staff attendance.
- Participates in screening and interviewing student staff, and providing input into selection
- Reviews assignments and provides feedback on work to student staff.
- Provides orientation and on-the-job training to student staff in the unit; provides coaching and feedback on work quality issues, providing related day-to-day supervision; escalates unresolved performance and disciplinary matters to management.
- Represents the Student Experience Office on assigned committees, working groups, or events as requested.
- In consultation with the Director, develop and manage annual program budget(s).
- Maintain current knowledge of practices, theories, and research in student development, identity development, and equity, diversity, and inclusion, and participate in relevant professional associations and conferences.
- Performs other job-related duties as identified with the Director to support the success of program areas/department.
SPECIAL SKILLS:
- Excellent interpersonal and counselling skills, with an ability to empathize and communicate effectively with students and the university community.
- Proven judgement and discretion in dealing with confidential and sensitive matters.
- Excellent communication skills, both written and verbal, including the ability to collaborate and work effectively in small and large groups both within and outside the university.
- Ability to apply and provide guidance to campus partners on the application of an anti-oppression and intersectional approach to program development and student supports, including awareness of current issues faced by equity-deserving students.
- Ability to network and collaborate to build partnerships with diverse student, faculty, staff, and the community.
- The ability to organize, plan and self-initiate both short and long-term goals.
- Strong initiative and the ability to work with limited day-to-day supervision, while recognizing when it is appropriate to consult and collaborate with others.
- High degree of flexibility and ability to multi-task in a busy environment with excellent attention to detail.
- Excellent organizational and time management skills with an ability to multi-task on a regular basis.
DECISION-MAKING:
- Assess urgency and complexity of student issues and needs, determining when to resolve issues and when to escalate issues to the appropriate university and community support services.
- Identify needs and provide recommendations regarding the development of specialized programs for students.
- Establish day-to-day work plan as well as broader advising, support, and outreach strategies.
- Identify services or functions that require improvement or determine when a new service should be offered and recommend appropriate solution. Participate in the implementation of modifications and introduction of new services as required.
- Set work priorities to meet competing demands.
- Use effective judgement to anticipate and respond to difficult situations.
- Contributes to decisions regarding establishing priorities, setting goals, long-term planning and
- program development.
- Determines priorities and makes decisions about student staff utilization and the assignment of work to achieve optimum efficiencies and productivity
- Assesses the suitability of job candidates for student staff positions and recommends the most appropriate person for hire
- Assesses student staff training needs and makes recommendations for training to attain proficiency.
- Monitors and assesses output and the quality of student staff work and recommends need for formal training or development plans to management and identifies possible staff performance and/or disciplinary issues.

REQUIRED QUALIFICATION:

- Minimum of an undergraduate degree coupled with 3 years’ experience in a similar environment.
- Knowledge of university programs and courses of study, and the general structure and operation of universities.
- Experience in counseling/advising/supporting, preferably university students.
- Familiarity with university life and activities and knowledge of university policies and priorities would be considered an asset.
- Knowledge of the needs and experiences of first-generation and other equity-deserving students, with specific understanding of the complexity of cultural adjustment processes for these students entering university.
- Experience with program development and delivery
- Knowledge of student development theory, including experiential learning theory and practices
- Satisfactory Criminal Records Check and Vulnerable Sector Screening required.
- Consideration will be given to an equivalent combination of education and experience.
