The Program & Training Coordinator (PTC), reports to the Managing Director of the Carbon to Metal Coating Institute (C2MCI) and will receive directions from the Scientific Director on assigned projects. The PTC will: manage research communications to ensure compliance with research and intellectual property (IP) agreements, monitor research project activities and milestones as part of maintaining a progress report data repository, and provide reporting and analysis services to the research team. The PTC will work with the Managing and Scientific Directors to collect and analyze data related to C2MCI, draft tables, graphics, and prepare reports related to C2MCI progress. The PTC will participate in external communications with business partners (e.g., industry, government, and funding agencies) to help finalize and amend legal agreements, develop and manage access to the members information communications platforms (SharePoint and data repository), and will develop and manage the C2MCI training, outreach, and internship programs. As the C2MCI training officer, the incumbent will: plan and schedule training events including, seminars, workshops, and outreach activities, develop a marketing strategy to promote training events, and will support the writing of grant applications (e.g., NSERC CREATE and Mitacs) to expand training and outreach programs. The PTC will work closely with highly qualified personnel (HQP) associated with the C2MCI to deliver training to them and will track participation, assess outcomes, and will compile training program performance reports.
The PTC provides extensive project management expertise by adapting procedures, making recommendations, and implementing changes for project improvements to ensure successful execution. As a key contributor, the PTC will continuously evaluate and identify opportunities to enhance the equity, diversity, and inclusion (EDI), professional and analytical skills development training, outreach, and internship initiatives of the C2MCI to identify gaps and success indicators.
KEY RESPONSIBILITIES:
Program Coordination
• Plan and manage the coordinate research activities of the C2MCI. This includes working with the Managing Director to develop and maintain a detailed project management timeline and task sets, outlining key deliverables, and following up on commitments to ensure accuracy and progress towards project objectives and goal achievement.
• Coordinate information management processes. This involves collecting data, assessment of the significance of information, distribution of data to others, disseminating research project findings, and developing and maintaining data/information repository. • For projects managed, lead interactions with researchers to generate research project reports and compile information collected into a data repository. In consultation with the Managing Director, analyze the data to draft Performance Metrics reports, progress reports and summary reports as necessary for stakeholder meetings, and for funding agencies as requested.
• Develop and implement a plan to manage the tracking of communications related to research, material transfers, and intellectual property (IP) agreements. This will include maintaining logs, participating in meeting related to developing research and IP agreements, processing agreement amendments, and reviewing research progress reports to ensure activities adhere to agreed intellectual property framework with each individual partner.
• Work with research partners to collect information on the generation of IP and establish and manage an IP tracking database.
• Administer reporting requirements. Work with the Managing Director to prepare semi-annual Performance Metrics report, progress reports for funding agencies, and summary project reports as requested on assigned projects.
• Develop Standard Operating Procedures (SOP) related to materials transfer and review transfer documentations to ensure compliance with the SOP.
• Develop and manage the members information and data sharing communication platforms (SharePoint, and data management repository) and function as the C2MCI data portal access manager to monitor communications and sharing of information to ensure complies with the C2MCI data management SOP.
• Develop and implement a framework to monitor research articles, patents and other forms of knowledge mobilization.
• Adhere to policies and standards of funding agencies, IP agreements, and that appropriate acknowledgement of members and funders are cited.
• Work collaboratively with colleagues and research team(s) to support the assessment of progress along the project management timeline
• Work with research partners to support the smooth and effective collection of research progress reports; and liaise with funding agencies and participating institutions (including academic, industry, not for profit agencies, and municipal) for the purpose of gathering information related to project activities.
• Work in collaboration with the Research and Communication Coordinator to plan and schedule workshops and guest lectures for the C2MCI annual research conference agenda.
Training
• Develop and manage C2MCI training, outreach, and internship programs. This includes, organizing, planning, and coordinating research seminars, equity diversity, and inclusion (EDI) workshops, professional and analytical development training events, and internship opportunities in accord with best practices.
• Coordinate with colleagues, and faculty to invite guest speakers/trainers, schedule training events, secure venue, and catering, hire and managing student volunteers as needed to support training and outreach events, and attend events and meetings relevant to assigned duties.
• Work with the Managing Director, and faculty to develop training material content and evaluation process when required.
• Develop and maintain a detailed training program timeline and task sets, outlining key deliverables and following up on programing commitments to ensure progress towards training objectives and goal achievement.
• Establish and maintain a database to log training, outreach, internship events and participation rates.
• Develop assessment tools to evaluate C2MCI training, outreach, and internship programs to support continuous improvement and identify gaps and produce summary reports on programing performance.
• Liaise and communicate with colleagues, students, postdoctoral fellows, other departmental staff, and the Equity Diversity and Inclusivity Training (EDIT) committee, and outside agencies to stay aware of developments and foster collaborative training, outreach, and internship programs.
• In support of writing grant applications (e.g., NSERC CREATE, and Mitacs Accelerate) to enhance the C2MCI training, outreach, and internship programs, conduct literature reviews, generate analyses and reviews, and present data and information in an appropriate form, including word processing, spreadsheet manipulation, and preparation of graphs or line drawings.
• Assume responsibility for evaluating and directing communication related to training, outreach, and internship programs, managing personally, or deferring more complex issues to the Managing Director.
• Manage assigned training, outreach, and internship program budgets and collaborate with Research Coordinator to process financial transactions related to the assigned budgets.
• Participate on the EDI and Training Committee and attend training, outreach events as required.
• Undertake other duties as delegated in support of the C2MCI.

• Make recommendations and determine the best approach for implementation of processes to ensure timelines and objectives are met.
• Determine best solution to administrative problems within guidelines and determine if policy or procedure should be modified. Decide on how to best implement changes, if necessary.
• Answer questions regarding training, outreach, and internship programs, or redirect inquiries, if necessary.
• Make recommendations on appropriate project operations and programs management protocols.
• Recommend best way to analyze and present data to meet the needs of the research project.
• Resolve problems as they arise and determine when to report on these actions to the Managing Director.
• Support the work of other staff and students based on research activity schedule.
• Display sound judgement, set priorities and determine which project activities requires the most attention, within inflexible time constraints.
• Ensure proper documentation and coordination of activities, events, and communications within department.
• In consultation with the Managing Director determine layout, content, and formatting of documentation (e.g., briefing notes, media posts, etc.).
• Determine content and presentation of reports, work-plans, manuals, newsletters, ads, articles and other publications, correspondence, and communication materials often in consultation with others.
• Make decisions regarding dissemination of information and methods of communication.
• Decide how latest information will change the course of a project or event and recommend appropriate responses to ensure highest possibility for success.

REQUIRED QUALIFICATIONS:
• A Master’s degree in a relevant field or an undergraduate degree coupled with significant related experience.
• Minimum of five (5) years of relevant project management experience.
• Experience conducting research and quantitative/qualitative statistical analysis of data.
• Knowledge of university procedures, policies, regulations, and administrative systems.
• An understanding of marketing and communications in a large organization.
• Proficiency in computer software applications, including Microsoft Office, layout, and web-based publishing software.
• Intermediate level of experience with Adobe software, Video and Audio editing software, Photoshop, Illustrator, Canva, and InDesign.
• Advanced proficiency with e-learning tools such as Articulate and Storyline.
• Familiarity with an academic research environment.
• Consideration may be given to an equivalent combination of education and experience.
