Bookkeeper/Administrator

Education/Training/Certifications
- Must be trustworthy and honest, capable of being privy to confidential information
- Must be polite, highly organized and have strong verbal and written communication skills
- Minimum 5 years’ bookkeeping and administration experience preferred
- Experience with Payworks and Account Edge software considered an asset
- Proficient with Microsoft Office software
Position Requirements
Jewell Engineering Inc. has been providing engineering services in the areas of municipal, civil and structural disciplines since 1998. Our firm maintains a Certificate of Authorization and Consulting Engineering Designation from Professional Engineers of Ontario to provide engineering services in Ontario. The firm is a member of the Association of Consulting Engineers of Ontario and the Canadian Association of Consulting
Our services are delivered to both the private and public sectors. Presently our staff complement at the Belleville, Kingston and Oakville offices comprises over fifty (50) full-time employees.
Bookkeeping/Invoicing/Billing:
- Perform bookkeeping duties by entering Company financial transactions, i.e accounts payable and accounts receivable into Account Edge Accounting software
- Prepare cheques , complete online bill payments, Electronic Funds Transfers (EFT’s), prepare deposits, etc.
- Complete bank reconciliations
- Tracking employee payroll burden
- Preparing bi-weekly company payroll
- Prepare reports required to assist company accountant
- Performing all tasks related to typing of invoices; collecting all monthly disbursement records, coding incoming invoices, inputting time and expenses on billing spreadsheets, attaching relevant information to billing sheets and completed invoices
- Conducting financial research, creating summaries
- Annual invoicing schedule
- Other duties as assigned
Administration:
- Open mail/distribute
- Human Resources duties, i.e. preparation of offers of employment, layoff notices,
- Administrator duties for the Company Health and Benefits package
- Administrator duties for the Company RRSP plan
- Verify, record and send for approval all accounts payable
- Answering phones, faxing, photocopying, e-mailing, save and scan correspondence to server
- Complete billing inquiries for telephone/fax services, hydro, other utilities as required
- Maintenance of employee files
- Back-up duties for other administrative jobs, as required
- Other duties as assigned
