REQUIRED QUALIFICATIONS:

  • University degree in related field
  • Advanced knowledge of business analysis discipline
  • Minimum 3 years of experience documenting business processes and with technical requirements analysis. Proven knowledge of activities, tasks, practices and deliverables associated with eliciting and clearly defining and documenting business processes/functions and process modeling/mapping
  • Proven expertise in Microsoft Office O365, including Excel, Teams, Sharepoint
  • Strong knowledge of administrative processes in a university environment preferred
  • Project management skills and experience an asset
  • Consideration may be given to equivalent combination of education and experience

DECISION MAKING:

  • Makes decisions regarding compilation, documentation and prioritization of system requirements, testing strategies, and implementation to ensure project deliverables are on-time, and outcomes are as expected and compliant to external governing bodies
  • Interpret how University policies, or legislative requirements impact system / business processes
  • Finds solutions to unanticipated problems and determines how problem and recommended solution may affect information systems and/or business processes
  • Determines recommendations for best solutions to streamline and increase efficiency and effectiveness of administrative processes, and advise if policy, procedure, or standards should be modified; recommend how to best implement changes if necessary
  • Determines appropriate strategy and content deliverables when developing training and user system documentation
  • Determines type and level of information needed by management/project teams to support decision making, when escalation is needed
  • Assess the potential operational and systematic impact of changes on internal and external users and present options for the appropriate course of action when developing plans/processes

Position Requirements

Reporting to the Manager, IT Services, the Business Analyst (BA) will research, analyze, sustain, measure, modify, and enhance business processes to support the ongoing information systems and business requirements for all areas that fall under the direction of the Executive Director, Housing and Ancillary Services. Through active relationship building and collaboration with unit end-users, unit management and other IT staff in H&A and the University IT Services, the BA ensures quality delivery of applications and process change, ensuring compliance, security and accountability.  The BA will also develop and deliver appropriate communication, training, and end user documentation to support unit staff and stakeholder needs.

This position provides analysis, design and support for application programs that are specific to Housing & Hospitality Services and other groups within Student Affairs for managing the residences, food services, conferences and events, in addition to web sites and data interfacing with PeopleSoft.   The incumbent works closely with other IT Services staff and with business unit staff to carry out the specified duties, exercise a thorough understanding of the Housing & Ancillary Services business and design and support systems that enable the business to operate most efficiently.

KEY RESPONSIBILITIES:

  • Assists end users in utilizing application information systems to support effective and efficient business processes. Works with users to enhance their knowledge of available software and tools. Supports end users to implement process changes.  Provides guidance and advice in best practice business processes, identifying and recommending strategies and solutions
  • Understands, collaborates, liaises and communicates with both internal and external business units to both plan and provide for information systems changes to meet both current and future requirements
  • Identify resource (including costs, staff and time) requirements for successful implementation of application information system changes and adjust based on the approved deliverables
  • Collaborates with end user representatives, and other subject matter experts, research, investigate and recommend system and business process improvements to meet end user needs, ensuring appropriate management support
  • Creates, reviews and edits business requirements and process documentation, while providing input to meet user needs and system requirements
  • Participates in application design meetings, preparing requirements and design specifications
  • Collaborates with other members of the IT Services team to ensure requirements and specifications align with existing and proposed tools and systems
  • Ensures updates and changes to any application configurations meet change management and security specifications
  • Collaborates with key stakeholders (business owners and identified training support staff,) to support the coordination and / or delivery of training in various formats. Updates training materials and documentation
  • Identify issues with respect to application systems and ensures items are tracked and resolved in a timely manner
  • Manage expectations and prioritize requests from stakeholders in accordance with direction from the management
  • Provides 3rd level help desk support (occasionally required on-call after normal business hours
  • Informs management of any information that may identify challenges to project schedules, missed project deliverables, incomplete tasks or inaccurate results
  • Continues to advance technical and business skill competency in relevant area to maximize shareholder value by keeping current on evolving system and business process capabilities
  • Undertakes other duties as required to support unit / department
