REQUIRED QUALIFICATIONS:

  • Minimum 3-year post-secondary education, preferably in Physical Education, Recreation or Sport Management or related field. University degree preferred.
  • Previous work experience (5+ years) in aquatic programming and lifeguard supervisory experience.
  • Knowledge of and experience in swimming pool operations and programming.
  • Hold and maintain current credentials, a minimum of:
    • National Lifeguard;
    • Standard First Aid/CPR-C and AED from a recognized agency by WSIB;
    • Lifesaving Society Swim / Lifesaving Instructor and/or Red Cross Water Safety Instructor;
    • First Aid Instructor
  • Aquatic Supervisory Training or Aquatic Management Training, National Lifeguard Instructor/Examiner, Bronze Cross Examiner, Lifesaving Society Instructor Trainer, First Aid Instructor Trainer, HIGH FIVE Principles of Healthy Child Development & Quest 2 certification, Aqua Fitness (CALA, Water Art, or equivalent) are definite assets.
  • Certified Pool Operator an asset
  • Consideration may be given to an equivalent combination of education and experience.
  • Satisfactory Criminal Records Check and Vulnerable Sector Screening required

Position Requirements

Reporting to the Associate Director, Recreation and Active Living, the Coordinator, Aquatic Programs is responsible for the supervision and operation of the Queen’s University aquatics programming and staff. The position oversees the development, administration, delivery, and assessment of aquatic programs and services, promoting safe, effective and innovative aquatic programs and services to meet the needs of the Queen’s and Kingston community, and ensures a safe environment for participants and staff in accordance with applicable regulations, guidelines, policies and procedures.

The incumbent is responsible to ensure a welcoming and superior customer service environment, planning, managing, monitoring, and supervising the scheduling of the swimming pool and related ancillary support structures in a safe manner consistent with provincially legislated regulations (i.e. Ontario Pool Operators, Health and Safety).  This includes the responsibility for hiring, training and scheduling the lifeguard and program delivery staff, maintaining a safe, clean, user friendly aquatic facility and scheduling pool-related activities (including but not limited to intramurals, fitness, instructional programs, summer camps, and school sport days in recreation, inter-university team pool training sessions, recovery or injury rehabilitation programs).  The individual will be accountable for related fiscal budget lines and revenue-generating initiatives and targets that lead to a sustainable business model for the pool.

In conjunction with other members of the Recreation and Active Living Unit, the incumbent supports the campus department vision of advancing a culture of wellbeing for all who live, learn, and work at Queen’s University. Queen’s has adopted the Okanagan Charter and a Queen’s Campus Wellbeing Framework that acts as an inspirational and informative foundation for programs and services.

In this role the incumbent deals regularly with members and a wide variety of internal and external user groups as well as other units within Athletics and Recreation (A&R) and on campus.

Note: This position requires flexible work hours, including frequent evenings and weekends according to program or area needs.

KEY RESPONSIBILITIES:

  • Program a clean, safe and professionally staffed swimming pool, consistent with provincially legislated health regulations.
  • Promote a culture of service and inclusion that embodies A&R values, with a commitment to the university’s equity, diversity, accessibility, and inclusion initiatives designed to foster an inclusive, supportive, and welcoming work environment for individuals with diverse backgrounds and identities. Ensure design, development and delivery of programming that supports, promotes, and welcomes equity, diversity, inclusivity and indigenization, ensuring cultural sensitivity of staff and leaders and culturally appropriate activities are cornerstone characteristics of our programming.
  • Support a culture of wellbeing for all who learn, work, and live at Queen’s to build a healthy, happy, productive and contributing community. Uses the Okanagan Charter, the Campus Wellbeing Framework, healthy child and youth development principles and standards, and the Canadian Sport for Life physical literacy model as guiding vision and principles in the development/implementation of programming, services, and supports to foster knowledge, skills, and attitudes necessary to lead resilient, active, and healthy lives
  • Liaise with the other A&R units to ensure that the needs of the aquatic programs are being met.
  • Support internal and external pool rentals and program bookings. Provide detailed information for invoicing and program recovery.
  • Develop and coordinate a broad range of revenue generating aquatic programs for students, faculty, staff and community groups through lessons and various courses offered.
  • Responsible for developing an effective pool schedule (including all user groups – intramurals, casual recreation, camps, varsity clubs/teams, etc.) which balances the needs of our groups, our community and meets financial targets and requirements.
  • Provide supervisory support and work direction, along with the technical/functional guidance to staff, including casual and part-time aquatics staff, including lifeguards and instructors. Schedule and assign work and oversee its completion.
  • Schedule and approve employees’ hours of work, overtime, and absences. Monitor and oversee employee attendance.
  • Participate in screening, interviewing, and selecting job candidates Review assignments and provide feedback on work to employees. Provide input on work performance to management staff.
  • Provide orientation and on-the-job training to casual and part-time employees, including lifeguards. Provide coaching and feedback on work quality issues, providing related day-to-day supervision.  Escalate unresolved performance and/or disciplinary matters to management.
  • With the support of the department’s marketing team, actively market our aquatic programs to the Queen’s and Kingston communities, to build both programming and rental revenues to meet agreed-upon financial and participation targets.
  • Responsible for researching and understanding the Kingston and area aquatic market and developing strategies to maximize our niche in that market.
  • Liaises with identified community partners in facilitating joint programming opportunities that will benefit and complement recreational, athletic and community programming.
  • At the request of the Executive Director, Athletics and Recreation serve on the Health & Safety and Risk Management Committees and/or other committees, working groups, or task forces.
  • Liaise with the Finance and Administration unit regarding budgets, invoicing, payroll, financial reports, financial tracking, refunds and other financial requirements.

  • Other duties as assigned by the Executive Director, Athletics and Recreation and/or Supervisor.

SPECIAL SKILLS:

  • Serves as in-house expert in the aquatic field (technical, health and safety), requiring demonstrated knowledge of provincial and national swim certification programs, standards, and best practices
  • Proficient in computer software applications including Microsoft Office, spreadsheet applications and experience with recreation management software
  • Excellent communication (written and oral), listening and interpersonal skills.
  • Strong organizational skills with the ability to manage work and priority conflicts in a demanding work environment
  • Service-oriented and capable of dealing with a wide variety of constituents and determining the most appropriate action when dealing with customer service issues
  • Ability to exercise discretion, good judgement, and solid decision-making, with a thorough knowledge of emergency procedures.
  • Analytical, interpretive and problem-solving skills with ability to research, analyze, and formulate solutions to complex issues
  • Knowledge of university procedures, policies, and regulations is an asset. Must have an ability to quickly acquire an understanding of policies and procedures applicable to the job.

DECISION MAKING:

  • Assess program success and determine appropriate follow-up action. Research and recommend new program offerings and solutions or removal of existing programs and determine best way to implement/deliver.
  • Determines scheduling priorities, allocate work, resources, facilities.
  • Resolve conflicts related to program scheduling and delivery
  • Assess the suitability of job candidates and recommends the most appropriate person for hire
  • Determines priorities and makes decisions about staff utilization and the assignment of work to achieve optimum efficiencies and productivity
  • Assess employees’ training needs and makes recommendations for internal or external training to attain proficiency.
  • Monitors and assesses output and the quality of employees’ work and recommends need for formal training or development plans to management and identifies possible staff performance and/or disciplinary issues.
  • Prepare budgets and make recommendations concerning appropriate expenditure of allocated budgets. Recommend revenue-generation strategies, including pricing, projections, new programming, etc.
  • Interpret policy guidelines with respect to the operation of the aquatic facility.
  • Prioritize own duties and responsibilities
