Position Requirements

A Brief Overview
Reporting to the Department Manager, with direction from the Financial Coordinator, the Departmental Assistant performs day to day administrative duties in the Biology Department. This includes providing financial administrative support for researchers, support and information dissemination to all Faculty members, their graduate students, post‐doctoral fellows, research personnel and course instructors. The Department Assistant is responsible for reconciliation of procurement card statements and assistance with other financial duties such as operating and research finances, processing payment transactions, paying invoices, and travel claims for faculty. The incumbent also carries out reception duties such as answering email and in‐person inquiries, updating contact lists and directories, coordinating facility access (keys/cards) and ordering office supplies and carrying out other tasks as assigned. As well as administrative support duties for department senior staff such as screening phone calls, initiating and drafting sensitive correspondence, replying to e‐mail on behalf of senior staff, scheduling meetings, and assisting in preparation of reports. The incumbent will also assist with committee work and special projects when required.This position performs general accounting and bookkeeping activities including accounts payable, accounts receivable, invoices, requisitions, and reconciliations.     • Generates accounting reports to support the operations.
