REQUIRED QUALIFICATIONS:
- Three-year university degree or college degree/diploma in a related field
- 2 to 3 years of experience in developing and managing electronic communications (websites, social media, e-mail communications, etc.) and conducting related analytics
- Proficiency with WebPublish 3.0 (or a similar Drupal-based platform), MailChimp, Hootsuite, Canva, Adobe PhotoShop, and online live-event streaming and hosting platforms (e.g., Teams and Zoom)
- Experience and familiarity creating content in multiple formats for social media platforms as well as experience writing in digital first environments
- Report writing skills for both technical and non-technical audiences, at a variety of organizational levels
- Familiarity with photography, videography, video editing is an asset
- Experience working in a university setting with knowledge of university policies, procedures, and information management systems is an asset
- Consideration will be given to an equivalent combination of education and experience

DECISION MAKING:

- Determines necessary strategies to measure and benchmark the effectiveness of the website among other North American school websites by auditing current content
- Makes recommendations and implements changes to improve SEO and overall engagement/ effectiveness to meet objectives
- Evaluates the continuing design, navigation, and content development of the SGSPA website, social media, newsletter and other channels in accordance with established visual identity standards and university web policies
- Determines necessary follow-up and individuals to be consulted in resolution of issues and questions received or requests made
- Identifies internal and external resources required to implement electronic communications strategies. Ensures most efficient use of resources to minimize time and cost
- Works with stakeholders in determining necessary areas of priority for updating and maintaining website content
Position Requirements
Reporting to the Manager, Graduate Experience, and working to support the School of Graduate Studies and Postdoctoral Affairs (SGSPA), the Digital Communications Coordinator plays a key role in the execution of our social media operations, newsletter communications and website maintenance, ensuring alignment with the university’s central marketing and communications initiatives and adherence to Queen’s Visual Identity and Brand Standards, best practice marketing and communications principles, and applicable legislation, as appropriate.
The Digital Communications Coordinator is also responsible for gathering and analyzing metrics from a variety of sources, including social media, website, and newsletters, and synthesizing that information. Based on that information, the Digital Communications Coordinator makes recommendations to improve the effectiveness of these different channels and execute on approved action plans and deliverables.
The Digital Communications Coordinator leverages strong technical, operational, and creative skills to deliver a top quality digital and online presence, providing excellent and timely service and bringing expert advice to SGSPA to enhance impact.
This position can be done 100% remotely from within Ontario.
KEY RESPONSIBILITIES:
- Social Media management:
- Manages all existing social media channels, including Twitter, Facebook, Instagram, LinkedIn, etc. Keeps on top of social media trends and positions SGSPA accordingly
- Creates, maintains, updates, and implements the SGSPA social media calendar, including SGSPA content (events, conferences, awards, etc.) and resharing other Queen’s content as appropriate for our brand, audience, and platform
- Produces and manages social media marketing initiatives in support of SGSPA and Queen’s recruitment goals and strategic priorities
- Establishes and maintains working relationships with graduate faculty, students, postdoctoral fellows and support staff across campus, including other communications, marketing, social media, website and ITS support staff and professionals
- Website management:
- Updates content on the SGSPA website on a regular basis
- Updates content on the faculty/staff SGSPA portal
- Audits website for timely content and user experience
- Makes recommendations to improve website usability, functionality, effectiveness, and user experience
- Liaises with ITS resources and external suppliers / vendors as needed to ensure website updates are done effectively and efficiently
- Analytics:
- Performs analyses of current web analytics using tools such as Google Analytics and Site improve, performs research on search engine optimization (SEO) and develops revised navigation structures and templates as needed for the SGSPA website
- Supports the development and maintenance of various tools and programs in order to evaluate and advance SGSPA’s communications
- Determines and recommends performance measures for the website, newsletter, and social media channels, including visits, clicks and engagement. Creates reports and dashboards as needed. Monitors performance and recommends adjustments accordingly
- Newsletter support:
- Drafting and designing content for weekly SGSPA graduate student newsletter
- Assembling newsletter within template, including visuals and hyperlinks
- Editing and reviewing newsletter for accuracy, spelling, grammar, inclusivity, etc., prior to publication
- Monitoring newsletter analytics to determine functionality, reach, engagement, and making recommendations to improve impact
- Provides technical support for online live event platforms as needed, such as Zoom, Teams, Brazen, HopIn, OBS Studio
- Operates with a solid understanding of digital communications trends, marketing and communications strategies, federal and provincial legislation regarding accessibility, privacy and electronic security as well as knowledge of emerging trends and technology developments to best position the SGSPA and Queen’s University to varied and diverse audiences
- Shares expertise in all aspects of digital communications. Educates and works with various stakeholders in the general improvement of digital communications
- Learns about best practices across North America higher education websites and social media to establish benchmarks for SGSPA impact and success
- Maintains SGSPA archive of images, photos, videos, and previous work products. Accesses Queen’s archive to use visuals for SGSPA communications
- Undertakes other duties as delegated in support of the SGSPA
