REQUIRED QUALIFICATIONS:

  • Minimum Three-year degree or diploma in business administration, sales/marketing, event planning, or recreation services with a minimum two years of experience recruiting, hiring and supervising casual employees or student staff
  • Proven experience at the supervisory level with a solid understating of financial processes, budgeting and forecasting
  • Demonstrated experience in business planning with focus on revenue generation and sales growth
  • Experience dealing with the public in a professional manner; excellent public speaking and presentation skills
  • Demonstrated proficiency and aptitude for growth with various social and digital media platforms for business
  • Demonstrated proficiency with computer applications and software including word processing, spreadsheets, databases, email and web-based applications related to marketing and marketing communications
  • Satisfactory Criminal Records Check and Vulnerable Sector Screening required
  • Knowledge of the university structure, policies and procedures, and administrative systems considered an asset
  • Knowledge and experience working in youth sport, recreation, camps, or educational programs for youth considered an asset

DECISION MAKING:

  • Recommend what type of program and business development opportunities and communications are required to achieve the established mandate of the Unit
  • Determine methods for sourcing and engaging with new partners, program participants and decision-making stakeholders
  • Determine how best to meet the needs of current stakeholders and make recommendations to the manager
  • Assess the needs of individual clients in order to tailor the sales approach appropriately
  • Make recommendations to the manager regarding contract components, taking into consideration knowledge of upcoming business and competitor information
  • Evaluate the market and recommend future action to achieve targets
  • Prioritize time and duties to ensure that work is completed on time
  • Decide when new programs require further action and take appropriate action
  • Decide when to and to whom to refer urgent inquiries/ concerns or sensitive issues
  • Sets priorities and determines which project requires the most attention
  • Makes daily operational decisions, including logistics and scheduling, related to academic and social activity programming, within a prescribed budget
  • Makes recommendations on program content

Position Requirements

The Enrichment Studies Unit (ESU) educational youth programs services provider within the Division of Student Affairs that offers enrichment opportunities and academic programs to students in Grades 5 through 12.

Reporting to the Manager, the Program and Business Development Coordinator is responsible for coordinating enrichment programs and services that meet the goals of the University and the Enrichment Studies Unit (ESU). The Program and Business Development Coordinator is responsible for coordinating the program operations and planning of the Unit’s programming portfolio; including overseeing program logistics, recruitment and selection of student staff and course instructors, training and supervising student and casual staff, and communicating with program stakeholders.

The incumbent further plays a vital role in the business development and revenue generation by way of identifying and securing new client partnerships related to youth leisure, recreation, and educational programming including public, private, and community service providers with a goal of increasing enrollment in virtual and in-person programs and securing new business opportunities.

Note: Work responsibilities will include occasional evenings and weekends.  The successful candidate must be able to work flexible hours.

KEY RESPONSIBILITIES:

  • Identify, qualify, and secure new business and partnership opportunities through various outreach and marketing initiatives including but not limited to; social media community development, participation in trade associations and trade shows, attending conferences and sales prospecting. This occasionally involves travel and work outside typical office hours
  • increasing enrollment in virtual and in-person programs and securing new business opportunities
  • In collaboration with other team members, will participate in the development of short and long term strategies to target new business opportunities in all related markets – such as public, private, or separate school boards, youth leisure or community service organizations.
  • Working with the Manager, coordinates the process for addressing participant behavioural concerns. Recommends actions in accordance with Unit policies
  • Liaises and communicates with course instructors, school representatives, external partners and other internal partners regarding programming
  • Oversees the recruitment, management and training of casual student staff supervisors and coordinators, including directing their work, creating and managing their work schedules, and attendance, providing coaching and feedback, and day-to-day supervision in accordance with prescribed ESU and Queen’s policies
  • Supports program instructors and other service providers by generating casual staff agreements, service agreements, and designing and delivering orientations and training
  • Designs and administers various surveys and other assessment tools to a range of stakeholders, collecting both qualitative and quantitative data. Analyses data and makes effective recommendations to the Manager for improvements and corrections to all aspects of the program
  • In collaboration with other team members and internal partners coordinates the logistics related to programs including supporting the preparation of program schedules; booking classrooms, labs and other instructional and activity/ special event space; secures and arranges contractual arrangements for off campus space where necessary
  • Develops and manages a detailed budget of expenses and monitors and reports program expenses to the Manager for approval
  • Assist with the development of comprehensive business development and promotional marketing materials to secure new business
  • Serves as secondary contact for participant, parent and teacher enquiries regarding programming and social activities. Responds to first level escalation for safety, administrative and procedural issues for the department
  • Contributes to the strategic and operational planning of the Unit
  • With the support of the Manager, establishes business goals, financial targets, and performance metrics for outreach and revenue generating programs and services
  • Supports the on-going development of program content and design to the needs and interests of program stakeholders and target audiences and business development goals
  • Respect diversity and promote equity and inclusion in the workplace
  • Undertakes special projects and other duties in support of the ESU, as assigned
