Position Requirements

POSITION OVERVIEW:
Whitley Insurance and Financial Services is looking for a friendly and reliable Receptionist reporting to the President. The successful candidate will be responsible for performing a number of administrative duties which include reception and mail duties. The successful candidate will be highly professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment. RECEPTIONIST

  • Help the Processing Team with renewals as time permits
  • Other administrative tasks as required

RESPONSIBILITIES:

  • Greet visitors and inform the applicable Account Manager of the visitors’ arrival
  • Ensure that clients are referred to their applicable Account Manager/ Account Executive in a timely manner
  • Any documents / information must be provided directly from the client to their servicing Account Manager, unless an exception is made by the applicable Account Manager/ Account Executive
  • Communicate directly via phone, email or in-person with internal employees and provide reliable and timely resolutions to their inquiries
  • Communicate via phone, email or in-person with external vendors in a professional and courteous manner
  • Ensure all incoming mail/couriers/Purolator reach appropriate person in a timely manner
  • Coordinate all outgoing mail/ICS (courier) or Purolator items, and ensure they are sent out on time
  • Responsible for taking clients’ payment
  • Update “In/Out Boards” both on the wall and on the computer for all to view
  • Process new MVR, Autoplus, & HITS requests throughout the workday
  • Ensure that reception area is well-maintained and covered at all times
  • Coordinate with alternate Account Assistant’s if coverage is required at the reception desk
  • Input new or updated Claim information into Epic based on Claim Reports from Company
