Document Control Clerk/Receptionist

Education/Training/Certifications
- 2 year Office Administration diploma (or equivalent) or 10+ years of office experience with 5+ years of document
control experience.
Communication:
- Work and interact with other team members
- Communicate effectively and accurately with suppliers, customers, and design team members in both oral and written
formats - Demonstrate excellent writing skills for correspondence, and technical reports written by others. Adhere to EMS-Tech
Inc.’s confidentiality and intellectual property agreements and policies - Demonstrate expertise and efficiency with MS Office Suite (Word, Excel, and Powerpoint), and file management
system (Synergis Adept) and other software as required - Demonstrate ability to multi-task and meet deadlines in a dynamic and fast paced environment
Physical Conditions/Demands:
- Normal office conditions (sitting at a desk, operating phone, computer/monitor, keyboard/mouse etc.) with intermittent
standing and walking - The lifting of objects is limited to a maximum weight of 35 lbs. (16 kg).
- Adhere to EMS-Tech Inc. safety practices both in the office, in transit, and off-site
Position Requirements
Knowledge & Innovation:
Document Control (approx. 75%) – reporting to QMS:
- Engineering support, working primarily with the Quality Management System Coordinator, Senior Design Engineering,
and Project Management team providing project support activities - Prepare transmittals for project drawings and other correspondence. Log incoming project drawings and other
correspondence - Receive, organize, and circulate supplier and fabricator drawings for approval. Document changes and send marked
up drawings back to suppliers for various projects - Create and maintain up to date customer and supplier drawing lists with the purpose to track receipt and status of
drawings using spreadsheet software - Assist in organizing supplier and project information to create “Installation, Operating and Maintenance Manuals”.
- Prepare the “Installation, Operating and Maintenance Manuals”
- Any other duties assigned by the Vice President Engineering & Design or the QMS leader.
Reception (back up – approx.. 25%) – reporting to Executive VP Operations:
- Perform receptionist responsibilities by receiving incoming telephone calls and forwarding to appropriate party; greeting
individuals who arrive and completing Covid-19 screening; fielding inquiries and relaying messages where appropriate - Receive, open, and distribute mail. Monitor and distribute incoming faxes. Send outgoing faxes as requested
- Receive, record delivery of, and distribute incoming courier packages and deliveries. Process outgoing courier packages
for staff as requested - Scheduling of company conference rooms. Company vehicles and 407 transponders, including maintaining the keys
and the sign out log - Hospitality support and any other duties assigned by the Executive Vice President, Operations
Type of Job: Full Time,
Hourly Wage/Salary: $40, 000 to $45,000 salary with full benefits and a 5% pension plan after successfully passing probation
Hours: 40 hours per week (Monday to Friday)
