REQUIRED QUALIFICATIONS:

  • Undergraduate degree in exercise science and/or equivalent, combined with several years of related research administrative experience
  • Strong knowledge of Microsoft Office (e.g. Word, Excel, Outlook)
  • Experience in project management or in a research environment
  • Experience in the organization and administration of a research project within a laboratory setting
  • Communication skills are essential among a variety of populations including research participants in exercise trials, hospital staff, graduate students, laboratory, SKHS and Queen’s University staff
  • Promotes diversity and inclusion in the workplace
  • Consideration may be given to an equivalent combination of education and experience

SPECIAL SKILLS:

  • Office supervision and administration skills, including advanced computer skills, especially word processing, spreadsheet and database applications. Must be comfortable using web-based scheduling software.
  • Interpersonal and communication skills, both verbal and written. This is important both for office supervision and for liaison duties where information must be clearly and accurately relayed. Candidate must be able to communicate effectively with participants varying in age and SES by phone, in person and via email
  • Analytical and problem-solving skills, to help resolve administrative problems and to maximize efficiency
  • Organizational and time-management skills, to coordinate the work of others as well as oneself and to book all participant recruitment, testing and exercise appointments
  • Leadership and motivational skills. Sensitivity to issues affecting the performance of staff and retention of research participant
  • Knowledge of bookkeeping/accounting practices and the ability to maintain budgets
  • Knowledge of university structure, procedures, and administrative systems, specifically financial and human resources

DECISION MAKING:

  • Make recommendations regarding office administration procedures; suggest and help implement changes
  • Set priorities and determine which project requires the most attention. Make human resources decisions regarding such things as workload allocations, supervision, training, and performance evaluations.
  • Make decisions regarding budget preparation and account administration
  • Make decisions on behalf of senior administrator. Determine when to refer problems or sensitive issues
  • Assesses the suitability of job candidates and recommends the most appropriate person for hire
  • Determines priorities and makes decisions about staff utilization and the assignment of work to achieve optimum efficiencies and productivity
  • Assesses employees’ training needs and makes recommendations for internal or external training to attain proficiency
  • Monitors and assesses output and the quality of employees’ work, and recommends need for formal training or development plans to management and identifies possible staff performance and/or disciplinary issues

Position Requirements

Reporting to the Principal Investigator (PI), the Research Coordinator will assist with the management and ongoing operation of research and trials under the guidance of the PI. The Research Coordinator will perform a wide array of duties within the research including; recruiting research participants, managing data, screening and enrollment, performing informed consent process, preparation of correspondence, scheduling, organizing meetings, minute taking and account administration. The Research Coordinator is responsible for office supervision and administrative duties within the School of Kinesiology and Health Studies (SKHS).

KEY RESPONSIBILITIES:

  • Coordinate research and administrative processes related to lab research, and project coordination and management, with guidance from the PI
  • Coordinate the process of preparing grant/or contract proposals for submission, for both individual researchers and research teams. This includes setting timelines, participate in meetings for the purposes of proposal development, review of drafts, and proposal submissions
  • Assist researchers with arranging individual grant/contract budgets through the Office of Research Services. Obtain initial quotes for equipment acquisition and provide this information to researchers for budget planning in compliance with funding agency requirements
  • Assess and recruit trial participants. This includes being responsible for media recruitment strategies, incoming calls from potential research participants, organizing and conducting recruitment meetings, preparing recruitment documentation, scheduling and randomization procedures
  • Perform ongoing research trial administration and organization including scheduling participant’s assessments, staff and graduate students, maintain all participants’ files and medical information coordinate medical screening with family physicians, management of trial questionnaires and data
  • Follow up with participants for the duration of the research trail, including all associated correspondence and data collection. Review ongoing data entries and perform preliminary analysis
  • Serve as Timekeeper within PeopleSoft HR system for casual workers, tracking and administering salary payments for research personnel, students and casual staff. Performs exception management, tracking staff sick, vacation, and other leaves in PeopleSoft and internally, maintaining records accurately and confidentially. Any discrepancies will be investigated and reported to the PI
  • Prepare research ethics board protocol documents, including consent forms, interview guides, renewals, and amendments with oversight from the PI
  • Communicate with vendors to order supplies and schedule equipment maintenance
  • Coordinate all trial accounting, including participant’s stipends, expenses related to the study, and maintenance of financial records.
  • Act as primary contact for the unit while only escalating complex situations to the PI
  • Organize, maintain, and store research files using confidential and secure methods
  • Provide work direction, and technical/functional guidance to staff. Schedules and assigns work, and oversees its completion. Coordinates and monitors workflow
  • Schedule and approve, or recommend the approval of, employees’ hours of work, overtime and absences. Monitors and oversees employee attendance
  • Participate in screening and interviewing job candidates, and providing input into staff selection
  • Review assignments and provides feedback on work to employees. Provides input on work performance to management staff
  • Provide orientation and on-the-job training to employees in the unit. Provides coaching and feedback on work quality issues, providing related day-to-day supervision. Escalate unresolved performance and/or disciplinary matters to management
  • Undertake other duties as required
