REQUIRED QUALIFICATIONS:
- University degree and at least five years’ of experience writing senior level communications
- Demonstrated experience in project management and coordination in a complex, multi-faceted environment involving high-level problem-solving skills
- Exceptional writing and editing with an ability to modify writing tone and voice to match the needs of diverse audiences
- Experience in developing, designing and managing websites and social media
- Extensive knowledge of senior level office practices, university structure, policies and procedures
- Ability to deal with highly confidential and sensitive subjects/issues
- Experience in a supervisory role

DECISION MAKING:
- Display sound judgement, set priorities, and determine which project requires the most attention within inflexible time constraints
- In consultation with the Manager, Special Projects, the AVPFA and VPFA, formulate and recommend action plans to efficiently implement projects within existing university policy and procedures
- Plan new initiatives for the portfolio. Determine and recommend necessary enhancements to improve current processes, in order to positively impact the portfolio’s operations and avoid future difficulties
- Provide recommendations on a range of complex matters related to projects for the Office of the VPFA and its portfolio; this advice may be used as the basis for decisions made by the management team
- Determine the optimum method of coordinating information flow within and outside the portfolio and determine how to present or report on information at hand
- Determine appropriate response to inquiries and decide when new information calls for further action such as distribution or verification. Redirect to more senior staff or other individuals as required
- Works closely with VPFA senior administrators to ensure proper documentation and coordination of activities, events, and communications within the portfolio
- Determine details required in minutes and notes of meetings; provide advice, recommendations and follow up; participate in decisions regarding research and background information required in support of all work
- Prepare and advise on tone, content, and substance of agendas, reports, presentations, and communications for a variety of audiences
- Determine priorities and make decisions about student employee utilization and the assignment of work to achieve optimum efficiencies and productivity
Position Requirements
Reporting to the Manager, Special Projects, the Special Projects Officer supports the management of key projects, communications, and initiatives within the Office of the Vice-Principal (Finance & Administration) (VPFA).
The incumbent works collaboratively and closely with stakeholders and partners to plan, manage, and implement special projects central to the operations of the VPFA portfolio, particularly projects with university-wide implications that advance the university’s goals. This includes coordinating the work of senior/strategic sustainability working groups. Further, the Special Projects Officer directs website management, social media content, and other strategic communications on behalf of the Office of the VPFA and its portfolio.
KEY RESPONSIBILITIES:
Special Projects:
- Plans, coordinates and/or manages the development of pan-portfolio strategic projects led by the Office of the VPFA, ensuring project objectives are clearly defined and met within set deadlines
- Initiates, builds, and maintains good working relationships with internal and external groups, including senior-level individuals, on behalf of the VPFA team. This includes promoting frequent communication and knowledge transfer between groups to advance initiatives
- Applies project management skills including planning, coordinating, and managing projects and initiatives to completion; conducting research; analyzing information, including confidential documents; developing communications and action plans; and organizing meetings and events to further special projects, partnerships and strategic priorities
- Develops and maintains a knowledge repository for projects and manages communications with stakeholders
- Makes recommendations, create plans, and implement changes for project improvements
- Coordinates the activities of special projects partners. This may involve the collection, assessment, and distribution of data, and the formulation of overall goals for project members. Monitors progress toward goals and ensures the participants stay on track to successful completion
- Resolves problems that arise, referring highly complex or sensitive matters to the VPFA management team
- Participates in strategic planning meetings and creates agendas/supporting materials
- Attends and participates at meetings as a representative of the Office of the VPFA; assigns and/or follows up on action items
Communications and Website Oversight:
- Leads the development of communications for the VPFA’s website and social media
- Collaborates with the Office of the VPFA staff, University Relations and others as required to develop publications and promotional materials
- Ensures timely distribution of relevant information
- Acts as quality control by developing, proofing, and editing portfolio website content and correspondence for internal or external distribution, ensuring adherence to Queen’s branding and accessibility requirements
- Prepares agenda items/meeting documentation, takes minutes, and distributes meeting information for strategic working groups
- Provides input in developing strategic plans and liaises with stakeholders
- Composes speaking notes, letters, confidential and comprehensive correspondence and reports, memos, and presentations on behalf of the VPFA management team
Other Responsibilities
- Provides direction and technical/functional guidance to part-time employees. Coordinates and monitors workflow
- Supervises student employees as required and assigns tasks
- Contributes to a positive and inclusive work environment that creates a culture where diverse ideas and perspectives are incorporated into decision-making
- Undertakes other duties, as required
